#Campaigns

A campaign adds a banner (an image with a link) to the end of the signatures of chosen people for a chosen period. Marketing sees how often the banner was inserted and how many people clicked — without any tracking of individual recipients.

Open Campaigns in the sidebar.

#Creating a campaign

Click New campaign.

Field Meaning
Organization Organization the campaign belongs to (controls who may manage it).
Campaign name Shown in the list and used as the default utm_campaign.
Banner image An https:// address, or Upload image (PNG, JPEG or GIF; about 600 px wide).
Alternative text Shown when images are blocked and in the plain-text signature.
Where the click leads The destination https:// address.
utm_campaign Tag appended to the link. Empty = derived from the name. utm_source=email-signature and utm_medium=email are added automatically; any utm_* values already in the address are kept.
Also add to replies and forwards Off by default; banners normally go on new messages only.
Who gets it Same audience selector as rules: everyone, groups and people, attributes, or combined.
Priority A person gets one banner; the lowest number wins.
Period Starts / Ends in your time zone. After the end the banner leaves new signatures, but links in already-sent e-mails keep working.
Enabled Master switch.

The dialog has a preview of the banner in the signature.

#Approval

Campaigns follow the same four-eyes principle as signatures:

  • Editors can prepare a campaign. It shows as Awaiting approval and appears in no signature.
  • An Admin clicks Approve. The campaign then runs according to its period.
  • Any change by an Editor withdraws the approval and requires approving again.
  • Admins' own edits do not need further approval.

#States

State Meaning
Awaiting approval Prepared, not yet approved.
Scheduled Approved; starts later.
Running Currently being inserted.
Ended Past its end date.
Off Disabled.

The banner is part of the signature hash, so when a campaign starts or ends, signatures update on their own at the next refresh — no one needs to do anything.

#Statistics

Select Statistics on a campaign.

Number How it arises
Inserted How often the server returned a signature containing this banner for a new message (add-in, agent). Exact, from the sender's side.
Clicks The banner points to https://<host>/c/<id>. The server counts the click and redirects to your destination with the utm_ tags. Link scanners, previews and bots are filtered out (by User-Agent and method), so counts are slightly conservative.
Click rate Clicks ÷ inserted.

A chart shows the last 30 days (UTC). Download CSV exports the daily numbers. Anyone with at least the Viewer role in the organization can see statistics.

Note. Redirects keep working and counting after the campaign ends, because old e-mails stay in mailboxes. They stop working only when you delete the campaign.

#Privacy by design

  • Only daily totals per campaign are stored: campaign, day (UTC), inserted, clicks.
  • No IP address, User-Agent, cookie, name or e-mail address of a recipient is stored. The redirect sets no cookies and sends Referrer-Policy: no-referrer and Cache-Control: no-store.
  • The destination address is stored with the campaign, not taken from the request, so the redirect cannot be abused as an open redirect.
  • E-mail opens are deliberately not measured. Tracking pixels are unreliable (Apple Mail preloads, Outlook blocks images, Gmail caches them) and would require processing recipient data.
  • For senders only the total number of insertions is recorded, not per person.

Warning. This is a technical description, not legal advice. Have your data-protection officer assess whether anything must be recorded in your processing register or mentioned on the landing page. The landing page has its own analytics and cookie rules, independent of SignetMail.

#Typical workflow

  1. Marketing (Editor) uploads the banner, picks the audience and period, saves.
  2. An Admin reviews the preview and approves.
  3. On the start date the banner appears in the signatures; during the campaign watch the statistics.
  4. After the end date export the CSV for the report.
